NOVA Engineering is looking for a detail‑oriented, proactive Administrative Assistant to join our Facilities and Building Enclosure team in Kennesaw, GA. This role is ideal for a motivated professional who enjoys keeping things organized, supporting fast‑moving project teams, and learning how a professional services firm operates behind the scenes.

You’ll work closely with project managers and leadership, gaining hands‑on exposure to project coordination, financial tracking, and client deliverables—making this a great opportunity for someone looking to grow within an engineering and construction environment

Duties:

  • Prepare, organize, and track project documentation, including reports, proposals, contracts, and invoices
  • Assist with timesheets, expense reports, invoicing, and basic P&L support
  • Help manage accounts payable, work orders, and internal reporting
  • Support new employee onboarding, partnering with Corporate Human Resources
  • Coordinate departmental needs, including travel arrangements, supplies and equipment
  • Proofread and format professional documents such as proposals, bids, SOQs, and reports
  • Collaborate with management to improve processes, systems, and workflow efficiency
  • Be a key support partner to project managers by helping keep projects running smoothly from start to finish

Skills/Qualifications:

  • 3+ years of administrative experience, preferably in engineering, construction, or a professional services environment (AEC industry preferred)
  • Strong organizational skills with the ability to manage multiple priorities
  • Solid working knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams)
  • Comfort learning new systems and tools (experience with Deltek Vantagepoint, Quire, or Metafield is a plus, but not required)
  • Understanding of basic financial concepts such as work‑in‑progress, unbilled reports, and revenue tracking
  • Clear, professional communication skills—both written and verbal
  • A detail‑focused mindset and pride in producing accurate, polished work
