Tibbetts Lumber Co. a growing Lumber and Building materials company, is seeking a qualified Administrative Billing Coordinator.

  

Essential Duties and Responsibilities:

  • Prepare and edit correspondence, communications, presentations, and other documents
  •  Conduct research, collect and analyze data to prepare reports and documents
  • Maintain databases
  • File and retrieve documents and reference materials
  • Monitor, screen, respond to, and distribute incoming communications
  • Answer and manage incoming calls
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels
  • Interact with external clients
  • Collaborate with finance and sales professionals to maintain accounts receivable
  • Compile and process information such as prices, discounts, shipping rates etc.
  • Ensure customers are billed correctly for services offered
  • Issue invoices and distribute them electronically or by mail
  • Communicate with customers to answer questions
  • Keep accurate records (customer information, received payments etc.)
  • Post customer payments 
  • Prepare and submit statements
  • Track and manage outstanding invoices
  • Coordinate communications between locations, vendors, and customers to support day-to-day administrative and operational processes
  • Perform various accounting tasks such as reconciling customer payments and remittances
  • Send invoices weekly to customers
  • Provide superior customer service to internal and external customers at all times
  • Travel requirements – 25%
  • All other duties as assigned
     

Experience Required:

  • At least 2 years of experience providing administrative support
  • Associate's Degree is a plus 
  • Billing experience is a plus 

 
Knowledge, Skills, & Abilities

  • Highly developed computer skills and in-depth knowledge of relevant software such as Microsoft Excel and the MS Office Suite
  • Knowledge of standard office administrative practices and procedures
  • Knowledge of building materials and processes is a plus
