Description

Job Duties & Responsibilities

  • Prepare, organize, and manage file correspondence and other related records.
  • Modify project drawings using Blue Beam – support estimating with highlighted floor plans for bid submission, support project management with document creation and modification.
  • Develop and/or review documents related to project submittals, product data or samples, compliance documents, and drawings. 
  • Support estimating by gathering pricing, availability, and lead times; assist with general data entry on bid forms and gathering supplemental documentation for bid submissions.
  • Write purchase orders under direction from project managers.
  • Organize incoming invoices between AP and PM’s and prepare invoices for PM approval and payment.
  • Closeout documentation – warranty letters, O&M documentation, etc.
  • Assist Project Managers with data entry for online material ordering. 
  • Delivery of Project Documents, Material/Samples to and from Clients and/or Jobsites.
  • Maintain SPD department calendar - schedule Vendor, Client, and Manufacturer Events.
  • Participate as a project team member to ensure completion of project goals. 
  • Contribute to and facilitate team meetings, providing input on team project needs and objectives. 
  • Manage and/or review material tracking logs through communication with customers such as manufacturers and vendors for coordination of shipping dates. 
  • Take part in activities related to field visits, project meetings, company and customer events. 
  • Learn estimating and project management software.
  • Coordinate and assist project managers and superintendents with project safety documentation.

Job Qualifications

Education:

  • Associate degree in Business, Construction Management, or related field of study or high school diploma/GED with equivalent work experience. 

Experience:

  • Demonstrated experience with excel formulas, calculations, and spreadsheet management.
  • Ability to work with minimum supervision. 
  • Proven customer service skills.

Skills:

  • Knowledge of the construction industry preferred.
  • Excellent verbal and written communication skills.
  • Ability to collaborate with all levels of management.
  • Strong relationship building skills.
  • Strong numerical and reasoning skills. 
  • Ability to multi-task.
  • Proficiency with Microsoft Office products; specifically, Outlook, Word, Excel 
  • Preferred knowledge in On-Screen Takeoff & Quick Bid & Bluebeam.
  • Proficiency in one or more of the following scopes preferred, but not required: window treatments, acoustic panels, specialty ceilings, wall protection, visual display boards, and banquettes.

Working Conditions

  • Able to work a varied schedule to complete projects and meet deadlines in response to changing demands. 
  • Able to work overtime (scheduled and/or unscheduled, nights and/or weekends) as needed or required to meet established deadlines. 
  • Able to work in fast paced environment with high daily pressure to meet deadlines. 
  • Able to perform work indoors in an office environment, regardless of whether cubicle, open office or private office. 

Physical Requirements

  • Able to operate office equipment, including telephone, mobile phone, photocopier, fax machine, scanner and calculator.
  • Able to communicate orally in a clear manner. 
  • Able to hear oral communication either in person or on equipment such as telephone or mobile phone. 
  • While performing the duties of this position, the employee is regularly required to sit for extended periods, stand, walk, use hands and arms, talk, hear, and view computer monitor for extended periods. Lifting up to 50lbs occurs occasionally. Some duties may be performed outside in the elements on a job site, which may include exposure to water, dust, dirt, grease, paint fumes, chemical, and equipment noise and vibrations.
