Position Overview:
We are seeking a highly organized and proactive Assistant Project Manager for Commercial Construction to serve as the "engine" of our Design & Project Management Team. In this entry-level role, your primary mission is to provide comprehensive support to the Project Manager, ensuring the seamless execution of construction projects and Tenant Improvements (TI). You will act as a force multiplier for the PM by managing technical documentation, coordinating third-party vendors, performing jobsite quality checks, and maintaining the financial tracking that keeps our builds on track. You will serve as a key point of contact in construction administration, maintaining professional and proactive lines of communication with General Contractors, Landlord teams, design firms, and our internal stakeholders. The ideal candidate possesses an owner mentality—someone who is resourceful, takes immense pride in the details of the build, and demonstrates a "technical grit" for the construction process. We are looking for an individual who values integrity in documentation and providing the essential daily support needed to help the Project Manager bring every design to life.

Key Responsibilities

Project Administration & Documentation

  • PM Support: Act as the primary administrative partner to the Project Manager, ensuring all project workflows remain fluid and organized.

  • Document Control: Manage the lifecycle of critical project documents, including RFIs, Change Orders (COs), and permit applications.

  • Close-out Management: Lead the formal close-out process for new builds and remodels, including punch list completion, gathering O&M manuals, and assembling reimbursement packages and lien waivers.

  • Warranty Management: Act as the point of contact for post-occupancy requests, specifically handling wall warranty claims and minor facility issues.

Financial Tracking & Procurement

  • Cost Logging: Maintain real-time financial accuracy by logging COs and out-of-pocket costs as they are transitioned to the accounting team.

  • Bidding & Estimating: Obtain competitive bids and coordinate vendors for refreshes and smaller-scale remodel projects.

  • Vendor Coordination: Manage the scheduling and logistics for third-party vendors, including specialty tasks such as signage installation and locksmith coordination for new builds.

Field & Site Operations

  • On-Site Support: Provide a consistent presence in the field to verify project progress and ensure work aligns with the design intent.

  • Meeting Logistics: Coordinate and schedule recurring site meetings with stakeholders, subcontractors, and consultants.

  • Safety Awareness: Ensure all onsite activities adhere to standard construction safety practices and project-specific protocols.

Required Skills & Experience

  • Technical Fluency: Ability to accurately interpret construction drawings and specifications; must be highly proficient in Bluebeam and Excel.

  • Construction Knowledge: Familiarity with the general construction process, jobsite lingo, and standard project workflows.

  • Industry Tools: Prior experience or high aptitude for project management platforms (e.g., Procore, Trimble, or similar).

  • Communication & Organization: Exceptional verbal and written communication skills with a proven ability to meet strict deadlines

  • Vendor Management: Experience coordinating third-party vendors and tracking multiple deliverables simultaneously

  • Logistics & Travel: Willingness and ability to travel nationally to various jobsites as required to support the PM and project needs.

  • Experience: At least 6 months of construction administration.

Perks & Benefits:

  • Work-Life Balance: No standard nights or weekends required.
  • Health Coverage: 75% employer coverage of Medical, Dental, and Vision insurance.
  • Wellness Reimbursement: Fitness & Wellness reimbursement up to $100/month.
  • Time Off: Paid Time Off (PTO), Volunteer Time Off (VTO), and 10 paid holidays in addition to PTO.
  • Parental Leave: Maternity and Paternity leave.
  • Retirement: 401(k) plan with company match after one year of employment.
  • Professional Environment: Business casual attire and a professional workplace community.
