Position Overview
The Construction Administrator is a critical operational role responsible for maintaining project system integrity and supporting production reporting across the construction department.
This role ensures proper project setup, alignment of job cost structures, and accurate documentation within Procore and Sage Intacct. By maintaining disciplined project data and documentation, the Construction Administrator ensures alignment between Preconstruction, Operations, and Accounting.
This is not a clerical position. The role requires commercial construction knowledge, strong system expertise, and the ability to support leadership with accurate production reporting and documentation.

Primary Responsibilities
Project Turnover & Setup
  • Attend all project turnover meetings to capture critical project details, including:
    • Final contract value and alternates
    • Billing terms, including retainage, stored materials, and milestone billing
    • Approved and pending change orders
    • Key project risks identified during preconstruction
    • Project schedule milestones
    • Insurance, bonding, and compliance requirements
Procore Setup Responsibilities
  • Create and configure new projects in Procore
  • Establish cost code structure aligned with project estimate
  • Upload contract documents and drawings
  • Configure Schedule of Values
  • Assign Project Manager and Superintendent
  • Maintain consistent documentation and file structure
Sage Intacct Setup Responsibilities
  • Create new job records after contract execution
  • Enter job details including location, contract value, cost codes, project management assignments, and schedule dates
  • Load original Schedule of Values
  • Coordinate synchronization between Procore and Sage
Accounting and the Controller review and activate jobs for billing and revenue recognition. The Construction Administrator does not post financial transactions or recognize revenue.

Pay Application Preparation
  • Update project percent complete in Procore in coordination with Project Managers
  • Reconcile approved and pending change orders
  • Validate Schedule of Values accuracy
  • Confirm stored materials documentation
  • Assemble supporting documentation required for billing
  • Prepare complete pay application packages for internal review
Billing Specialists submit invoices and manage accounts receivable while Accounting handles revenue recognition and collections.

Production Reporting & Executive Support
  • Produce weekly production dashboards including:
    • Work-in-progress (WIP)
    • Change order pipeline
    • Margin tracking
    • Backlog reporting
    • Labor performance indicators
  • Maintain job health reporting for leadership visibility
  • Track project risks and documentation gaps
  • Support executive and board-level reporting requirements

Project Controls & Documentation Integrity
  • Conduct weekly audits of project documentation
  • Maintain accurate logs for:
    • RFIs
    • Submittals
    • Change events
    • Commitments
    • Drawings
  • Support project closeout documentation tracking
  • Maintain consistent file structure and naming conventions across projects
  • Commitment to excellence, safety, and customer satisfaction
  • All other duties as assigned

Travel Requirements
This position requires occasional regional travel to project sites within Florida.
A company vehicle and gas card are provided for all business-related travel. Candidates must possess a valid driver’s license and maintain a clean driving record. Overnight travel is rare but may be necessary for certain projects.
Qualifications
  • 3+ years of experience in commercial construction administration or project coordination
  • Strong proficiency in Procore (required)
  • Experience with Sage Intacct or other Sage ERP systems
  • Understanding of job cost structures, cost codes, change order processes, pay applications, and WIP reporting
  • Advanced Excel and reporting capabilities
  • Strong organizational skills and high attention to detail
  • Ability to support cross-functional coordination between Operations, Preconstruction, and Accounting
