POSITION TITLE: Document Validation Clerk 

JOB STATUS:  Full Time/Hourly   

DEPARTMENT: Document Services 

REPORTS TO: Document Imaging and Validation Team Leader 

TRAVEL REQUIRED: None 

WORK SCHEDULE: In-Office 

PAY: The expected hiring range for this position is from $16.86 - $19.83/hour plus additional bonus opportunity. The stated hiring range is based on experience, qualifications, and other relevant factors. Final compensation decisions will take into account a variety of considerations, including individual skills, internal equity, and organizational needs.

 

 

JOB SUMMARY: 

The Document Validation Clerk reports to the Document Imaging and Validation Team Leader and is responsible for indexing documents using various modules into imaging content manager software, verifying post funding information on loans, maintaining and delivering original documents, and trouble-shooting unidentified/missing loan processing documents.  

 

JOB FUNCTIONS: 

Perform Validation Processes 

  • Completes validation of documents through the IBM KOFAX Transformation Module including sales packages, faxes and emails sent to the Vanderbilt Originations teams, and the Retail Credit Bureau Report Authorization forms for the Retail department. 

  • Names, organizes, rearranges, and groups validation documents in a timely and accurate manner. 

  • Routes working documents to the appropriate Originations teams.  

  • Handles requests from Retail Home Centers to process credit bureau report forms ensuring they are received and imaged into OnBase and resolve delinquencies as needed; completes validation for Retail on sales and location documents.  

  • Researches numerous document types and troubleshooting batches daily if documents are missing or unavailable.   

  • Handles import requests from teams throughout the enterprise to image letters sent to customers into OnBase. 

  • Images email correspondence between customers and account representatives into OnBase. 

  • Completes validation of mortgage documents for the Servicing teams.   

  • Performs maintenance to all closing documents, including Investor documents during the origination process. 

 

Cross Team Collaboration and Communication 

  • Communicates effectively with all levels of internal and external team members, leadership and vendors.  

  • Works on a rotating schedule to cross train on imaging tasks with frequently changing responsibilities. 

  • Assists senior and team leader to identify opportunities and provide solutions on validating processes.

QUALIFICATIONS: 

  • Education:  High School diploma or equivalent required 

  • Experience:  0-1 year of experience 

  • Basic computer skills with ability to type at least 25 wpm 

  • Ability to communicate effectively and efficiently via phone, email, and  in-person 

  • Capable of gathering facts accurately, analyzing causes, evaluating alternate solutions, and arriving at sound conclusions on action to be taken 

  • Ability to apply knowledge of various document types to work 

  • Ability to manage multiple and/or conflicting responsibilities 

  • Great attention to detail and organizational skills 

  • Ability to work in a team environment 

 

PHYSICAL DEMANDS: 

  • Must be able to remain in a stationary position 75% of the time 

  • Will be constantly operating a computer and other office productivity machinery, such as a telephone, calculator, copy machine, and computer printer 

  • Must be able to identify and assess account status and determine appropriate process 

  • Will constantly work in a state-of-the-art indoor temperature controlled, sealed window office environment
