We are seeking a Executive Assistant to provide high-level, strategic administrative support to a Senior Vice President and other members of executive leadership. This role is critical to enabling executive effectiveness, ensuring seamless global coordination, and supporting day-to-day operations across regions, time zones, and functions.

The ideal candidate is a proactive, detail-oriented professional who thrives in fast-paced environments, exercises sound discretion, and partners effectively with senior leaders and stakeholders worldwide.

What You Will Do

  • Provide comprehensive executive support to a Senior Vice President and aligned global leaders, managing daily operational and administrative needs including priorities, task flow, and executive coordination.
  • Serve as a trusted partner to leadership by anticipating needs, proactively resolving issues, and ensuring executives are prepared for meetings, engagements, and decision-making.
  • Manage complex domestic and international travel arrangements, including itineraries, expense processing, charge card reconciliation, and related administrative support.
  • Coordinate and maintain highly complex executive calendars, accommodating multiple time zones, global holidays, key meetings, and organizational events.
  • Support global communications and operations by maintaining accurate records, reports, documentation, and administrative systems.
  • Oversee office and administrative processes to ensure efficiency, consistency, and alignment with enterprise standards.
  • Handle highly sensitive, confidential, personal, and financial information with the utmost discretion and professionalism.
  • Identify opportunities to streamline administrative processes, improve executive productivity, and enhance operational effectiveness through proactive planning and problem-solving.

  • Flexibility & Adaptability: Comfortable navigating change, shifting priorities, and evolving business needs.
  • Multi‑Tasking & Prioritization: Skilled at balancing multiple competing priorities while meeting deadlines and maintaining accuracy.
  • Problem Solving & Judgment: Ability to assess situations, evaluate options, and implement effective solutions independently.
  • Advanced Calendaring: Expertise managing complex executive calendars across multiple stakeholders and time zones.
  • Office & Administrative Management: Strong background in coordinating meetings, travel, documentation, and executive logistics.

Top Candidates Will Also Have

  • Extensive experience supporting senior executives in a large, global organization
  • Demonstrated ability to operate with discretion and maintain confidentiality
  • Experience coordinating global travel and managing expense systems (e.g., Concur)
  • Proficiency in Microsoft Office 365 and comfort working within enterprise systems (e.g., Workday, Viva Engage)
  • High emotional intelligence, professionalism, and executive presence
  • Track record of improving processes and increasing operational efficiency

Summary Pay Range:

$72,360.00 - $108,540.00
