Lead or assist with refinery on-site and off-site event planning and execution.
Place and coordinate food orders.
Update/add electronic board information.
Prepare outgoing mail and correspondence.
Prepare routine correspondence, reports, and presentations.
Conduct research and compile statistical reports.
Make copies of correspondence or other printed materials.
Build, organize, and maintain file retention and management system following corporate guidance and file correspondence and records of a confidential nature.
Organize and expedite the flow of work through the Director's/Manager's office.
Schedule appointments and make arrangements for meetings and conferences, which may include preparing agendas, reserving and preparing facilities, and recording and transcribing minutes of meetings.
Greet visitors and direct them to the appropriate area or person.
Process invoices and requisitions.
Monitor and reconcile controllable expenses, and assist in the preparation of annual budgets.
Order and maintain supplies and arrange for equipment maintenance.
Serve as back-up for Executive Administrative Assistant.

Basic skill using Microsoft Office programs (i.e., Word, Excel Power Point).
Education and Experience (required):
High School diploma or GED required.
5 years of Administrative Assistant experience required.

TWIC
Experience providing administrative support in the refining/petroleum industry preferred.
