Marketing and Office Coordinator

3i is a dynamic general contractor seeking a passionate and detail-oriented Marketing and Office Coordinator to join our growing team. As a key member of our organization, you will play a pivotal role in supporting our marketing efforts and ensuring the smooth operation of our office. In this role, you will develop and execute marketing campaigns, heavily assist with proposal writing, social media management, and content creation, manage our online presence and website, and aid in planning events. Provide administrative support by managing office operations, handling administrative tasks, and assisting various departments with day-to-day needs. Lastly and very importantly, as 3i’s Marketing and Office Coordinator, we want someone with high energy, dedication, and commitment to help 3i achieve new heights.

Job Duties and Responsibilities

            Marketing:

  • Assist with developing proposals and presentations, including writing/editing text, design layout, custom graphics, tailoring resumes, and integrating schedules, with input from the Leadership and Project teams.
  • Excellent writing and editing skills and the ability to clearly and concisely communicate complex ideas.
  • Assist with identifying marketing strategies. 
  • Monitor and update the organization’s website and social media with projects monthly.
  • Research or developing social content.
  • Manage promotional materials inventory.
  • Support of online presence, including social media and website.
  • Assist in coordinating company special events and attend events on behalf of the organization.
  • Work with leadership to establish marketing and office budgets.
  • Assist in developing pursuit plans and client outreach activities ahead of RFP release.
  • Assist with presentation rehearsals.
  • Follow electronic file structure, access, and backup procedures for all proposal materials.
  • Understand and support compliance with copyright laws and photographer usage rights.
  • Assist with 3i's Foundation's Marketing efforts. 

Office:

  • Maintain systems to extract, categorize, and retrieve information related to clients, consultants, personnel, projects, prior proposals, boilerplate, and visuals.
  • Oversee all aspects of general office coordination.
  • Maintain office calendar to coordinate workflow and meetings.
  • Plan, prepare and execute monthly meetings as requested for 3i’s subcontractor base.
  • Answer telephones, take messages and transfer them to the appropriate team member.
  • Open, sort and distribute incoming correspondence.
  • Assist in setting up and coordinating meetings and conferences with leadership, including annual meetings and customer appreciation events.
  • Ensure that conference rooms, lobby, supply rooms, and breakroom are stocked and neatly maintained daily.
  • Research, price, purchase and maintain inventory of office equipment and supplies.
  • Arrange for the repair and maintenance of office equipment.
  • Maintain public company email inbox.

Technical Skills Requirements

Qualifications

  • A bachelor's degree in business administration, Marketing, Advertising or a related field can be beneficial.
  • Previous experience in an office setting, particularly in administrative or support roles.
  • Knowledge of Adobe Creative Cloud and Microsoft Office Suite
  • A Valid Drivers License
  • Strong interpersonal skills and ability to work with and manage cross-functional teams.
  • Able to pass a drug and background
