Your New Job

The Office Assistant provides crucial administrative and operational support to help Congruex run smoothly. Key responsibilities include:

General Office Management:

  • Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports.
  • Managing office supplies and equipment, ensuring everything is stocked and functioning. This includes ordering, receiving, unpacking and storing supplies.
  • Helping to maintain a tidy and organized work environment.
  • Supporting the onboarding of new staff or contractors by organizing necessary paperwork or training sessions.
  • Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources and solutions when needed.
  • Assist in planning and managing any company events and/or company gifts.
  • Transport boxes and equipment weighing up to 20 pounds.

Administrative Support:

  • Answering phone calls, managing emails, and handling day-to-day communications for the office.
  • Scheduling meetings, appointments, and coordinating calendars for project managers or executives.
  • Organizing office logistics, such as arranging travel, caterings or accommodations for staff and clients.

Document and File Management:

  • Creating, maintaining, and organizing both physical and digital project files, contracts, and reports.
  • Preparing presentations, project documentation, and other reports as needed by the team.
  • Ensuring proper storage and easy access to important documents related to engineering, construction, and telecommunications projects.

Project Coordination Assistance:

  • Supporting project managers by tracking project timelines, tasks, and milestones.
  • Assisting with coordinating resources, including manpower, equipment, and materials.
  • Monitoring and updating project progress and preparing status updates for team members or clients.

Procurement and Budgeting:

  • Handling procurement-related tasks, such as placing orders for equipment, materials, and supplies.
  • Assisting with the management of invoices, purchase orders, and expense reports.
  • Ensuring that project costs are tracked and that the financial records are kept up to date.

Communication Liaison:

  • Acting as a liaison between internal teams (construction, engineering, planning) and external stakeholders (clients, suppliers, subcontractors).
  • Communicating project updates, addressing inquiries, and providing information as needed.

Compliance and Quality Assurance:

  • Ensuring that project documentation and procedures comply with industry standards and regulations.
  • Assisting with safety protocols or quality control measures related to construction and engineering work. 

In summary, the Assistant, Office ensures that day-to-day operations run efficiently, supporting both administrative functions and the logistical needs of ongoing telecom projects. 

Required skills and qualifications

  • Two or more years of experience in office management
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
  • Proficiency with office applications, and aptitude for learning new software and systems
  • Ability to maintain confidentiality of company information
