As an office assistant, you will provide support to ensure smooth and efficient office operations.

Job Responsibilities

  • Administrative Support:
  • Answering and directing phone calls.
  • Handling office correspondence, including emails and postal mail.
  • Scheduling appointments and meetings.
  • Maintaining office supplies and placing orders for multiple branches.
  • Data Entry & Record Keeping
  • Organizing and maintaining files (digital & physical).
  • Data entry and updating records in databases or spreadsheets.
  • Assisting with report preparation and document management.
  • Customer Service
  • Greeting visitors and directing them to the appropriate department or individual.
  • Responding to inquiries or concerns and providing information as needed.
  • Office Organization
  • Keeping office spaces tidy and organized.
  • Assisting with the setup and coordination of office events, meetings, or conferences.
  • General Tasks
  • Assisting team members with various administrative tasks as required.
  • Providing backup support to other departments or roles within the office.
  • Accounting Tasks
  • Monitor Accounting email.
  • Entering invoices and waivers in QuickBooks.
  • Communicating with clients to collect past-due balances via phone and/or email. 
  • Receive any incoming payments via phone and/or email.
  • Complete any reports and miscellaneous tasks needed. 
  • Human Resources Tasks
  • Coordinate the full recruitment process, from job posting to setting up interviews and hiring.
  • Launch background, MVR, drug testing and follow up with candidates' progress.
  • Send requested invoices to the accounting manager.
  • Manage the onboarding process for new hires, including orientation, and entering in the system.

Job Skills & Requirements

  • A minimum of one year of experience in a similar role
  • Ability to work independently and as part of a team.
  • Skilled in MS Office programs (Word, Excel, Outlook, etc.)
  • A high level of confidentiality and integrity is a must
  • Dependable, punctual, helpful, detail-oriented
  • Outstanding communication skills and proper etiquette (written, phone, in-person)
  • Excellent organizational, multitasking, and time management skills
  • Drug screen and background check required
  • Tasks assigned by the supervisor or manager
  • Basic accounts receivable knowledge.
  • QuickBooks knowledge preferred.
  • Paylocity knowledge preferred.
  • Basic HR knowledge.
