Summary

The Production Coordinator is responsible for supporting daily production and field operations through efficient scheduling, documentation management, labor coordination, and service workflow organization. This role ensures that all service and production activities are accurately processed, communicated, and completed on time. The Production Coordinator serves as a critical link between field teams, internal departments, and managementβ€”helping to maintain smooth operations, timely communication, and accurate reporting.

This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Success in this role depends on proactive problem-solving, effective coordination with multiple teams, and maintaining a high level of accuracy and professionalism.

Essential Functions

Scheduling & Coordination

  • Coordinate daily and weekly production and service schedules, ensuring field labor, subcontractors, and independent contractors are assigned effectively.

  • Support dispatching activities for field teams, ensuring clear communication of priorities and job details.

  • Monitor and respond to daily field requests via email, phone, or scheduling platforms.

  • Review incoming service and extra-pay requests from the field and process approvals per established guidelines.

  • Confirm production lot readiness, verify documentation accuracy, and ensure work orders are properly labeled and coded.

  • Collaborate with field supervisors and branch management to align manpower allocation with workload demands.

Material & Order Management

  • Process and track service materials, ensuring orders are submitted to Purchasing and fulfilled in a timely manner.

  • Generate and manage UCR/ZADD entries for production installs and service work.

  • TECO (technically complete) all ZSVC, ZUCR, and ZADD orders, handing them off to Billing once requirements are met.

  • Maintain detailed documentation for all production and service jobs, including labor hours, completion notes, and work order records.

Communication & Documentation

  • Coordinate with branch leadership, installers, and construction managers to ensure clear communication on schedule changes, material updates, or jobsite conditions.

  • Print, distribute, and archive service and production paperwork as required.

  • Provide administrative support for customer service, including managing pre-close and post-install service documentation.

  • Maintain accurate records and assist with reporting for field performance, labor utilization, and material usage.

Operational Support

  • Track and process material shortages, jobsite repairs, and service-related issues in coordination with field and warehouse teams.

  • Support field operations through labor coordination, scheduling adjustments, and problem resolution with minimal direction.

  • Collaborate with internal teams to prevent delays and ensure that all service and repair activities are completed on time.

  • Assist with creating POs for cabinet and laminate sub-labor (production and service).

  • Perform other administrative and coordination duties as assigned to support operational efficiency.

Education & Experience

Required:

  • High School Diploma or equivalent.

  • Minimum 2–4 years of experience in production coordination, construction operations, or a related role.

Preferred:

  • Experience in construction service dispatch and coordination (labor scheduling, work order management, or installation support).

  • Knowledge of SAP or similar ERP systems.

  • Proficiency with Microsoft Office (Excel, Word, Outlook).

  • Prior experience supporting field operations or warranty service coordination.

  • Understanding of construction and installation processes (flooring, countertops, cabinetry, etc.).

Skills & Competencies

Required:

  • Strong written and verbal communication skills with the ability to interact professionally with internal teams, subcontractors, and builders.

  • High level of organizational skills and time management, with the ability to prioritize multiple tasks effectively.

  • Strong attention to detail, ensuring accuracy in data entry, documentation, and scheduling.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Analytical and critical thinking skills to identify, address, and resolve workflow issues proactively.

  • Problem-solving ability and adaptability when faced with changing priorities or incomplete information.

Preferred:

  • Experience dispatching or coordinating construction labor or service crews.

  • Familiarity with field service scheduling software and job tracking systems.

  • Knowledge of interior finish materials (tile, vinyl, carpet, countertops, cabinetry) and the importance of material matching for repairs and replacements.

Work Environment

  • Office-based role with frequent interaction with production, warehouse, and field personnel.

  • May require occasional time on-site or in warehouse environments.

  • Fast-paced setting requiring attention to detail and responsiveness to multiple stakeholders.
