The Risk Coordinator provides administrative support to Stellar’s Risk, Legal and Information Services Departments. This role is responsible for organizing and maintaining risk-related documentation, assisting with insurance and claims processing, coordinating compliance activities, and supporting communication between job sites, vendors, and internal teams. This position ensures accurate recordkeeping and smooth administrative operations.

Responsibilities:

  • Maintain and update risk-related files, logs, and documentation including incident reports, insurance certificates, claims, and subcontractor compliance records.
  • Assist with the intake, tracking, and filing of incident and accident reports from field teams.
  • Coordinate the timely collection and renewal of subcontractor insurance certificates and ensure compliance with contractual requirements.
  • Support the claims process by gathering documentation, submitting initial reports to carriers, and tracking claim status updates.
  • Schedule meetings, trainings, and compliance audits as needed; prepare materials and take meeting notes.
  • Track expiration dates for key documents and send reminders to relevant parties.
  • Generate reports and dashboards from risk management software or spreadsheets.
  • Communicate with field personnel, insurance brokers, and third-party vendors to follow up on outstanding items.
  • Manage software/hardware related subscriptions, including managing tracking of all items and support renewals.
  • Assist with invoice processing, budget tracking, and purchase orders related to risk expenditures.
  • Provide administrative support to the Risk, Legal and IS departments as needed.

Qualifications:

  • High school diploma or GED required; associate or bachelor’s degree in risk management, insurance, business administration or related field preferred.
  • 1–3 years of administrative experience, preferably in construction, insurance, or risk management.
  • Strong attention to detail and excellent follow-up skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with TradeTapp and Procore a plus.
  • Strong written and verbal communication skills.
  • Ability to manage confidential information with discretion.
