Primary Function
The Safety Administrative Coordinator supports the front end of safety communication and documentation across active construction and industrial projects. This is a clerical, office-based role responsible for receiving, documenting, and coordinating safety-related information between field crews, project teams, and safety leadership. This role requires a high level of responsiveness, as safety events may occur outside standard business hours and require timely documentation and communication.
Key Responsibilities
Safety Intake & Communication
- Serve as the first point of contact for safety incidents and field communication
- Document safety-related information clearly and accurately in real time
- Route information to Safety, Project Management, and external partners as needed
- Support communication between field crews, supervisors, and office teams
Safety Administration
- Maintain organized records of safety documentation, incident reports, and corrective actions
- Track safety events and assist with follow-up coordination across projects
- Support clerical components of safety investigations
- Ensure documentation is complete, consistent, and audit-ready
Coordination & Support
- Coordinate safety-related communication across EPC project teams
- Support scheduling and documentation for safety meetings and initiatives
- Assist Safety leadership and project teams with administrative needs
General Office Support
- Perform data entry, filing, and document management
- Utilize Microsoft Excel and Word for reporting and tracking
- Manage phone and email communication related to safety processes
Qualifications
- 1+ year of experience in administrative, clerical, or coordination roles, ideally within construction, industrial, or EPC environments
- Exposure to field-driven operations where timely communication is critical
- Basic understanding of safety processes, incident documentation, and OSHA-related environments
- Experience supporting project teams, safety departments, and field operations preferred
- Strong attention to detail with ability to document information accurately and consistently
- Ability to manage multiple priorities in a fast-paced, project-driven environment
- Proficiency in Microsoft Excel and Word
- Strong written and verbal communication skills
- Ability to respond to after-hours communication when needed

Preferred Qualifications
- Bilingual in English and Spanish
- Prior experience supporting EPC projects, contractors, or industrial job sites
- Familiarity with safety documentation, logs, or compliance tracking systems
- Experience working with project managers, superintendents, or safety professionals
Work Environment & Requirements
- Full-time, onsite role (Monday – Friday, 8:00 AM – 5:00 PM)
- Office-based position supporting active construction and industrial operations
- Reliable transportation required for daily commute
- Occasional overtime may be available
- Flexibility to assist outside standard hours when required
