WHAT YOU’LL BE DOING:

In this role, you’ll play a vital part in ensuring the successful completion of civil construction projects by managing critical administrative tasks, fostering clear communication, and supporting project teams every step of the way. Once selected to join our team, you will:
- Manage the administrative aspects of civil construction projects, ensuring accuracy and compliance with contract requirements.
- Coordinate with contractors, project managers, and the construction inspection team to facilitate successful project completion.
- Maintain comprehensive construction documentation, including submittals, RFIs, inspection reports, and test reports.
- Attend pre-construction meetings, take detailed notes, and establish relationships with contractor staff.
- Oversee and track construction submittals, RFIs, contractor pay applications, and change order requests, ensuring timely approvals and communication.
- Ensure all project stakeholders have access to the latest plan sheets, tracking revisions to maintain consistency..
- Organize and manage project close-out processes, including pre-final and final walkthroughs, warranties, and as-built documentation.
- Schedule and participate in weekly construction progress meetings, prepare agendas, take meeting notes, and distribute summaries to the team.
- Coordinate workflows for project modifications, including contract amendments and task updates, while collaborating with billing coordinators.
- Develop and implement workflow processes to enhance efficiency and meet deadlines.
- Provide administrative support through document creation, report preparation, and correspondence drafting.
- Assist with proposal development, formatting specifications, and quality control for project deliverables.
KEY QUALIFICATIONS:
KNOWLEDGE:
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook), including the ability to create reports, graphs, and presentations.
- Familiarity with construction proposals, contracts, and documentation.
- Understanding of workflows related to construction contract administration.
SKILLS:
- Exceptional attention to detail and organizational skills.
- Ability to prioritize and manage multiple competing deadlines effectively.
- Strong communication skills, both written and verbal.
- Initiative, follow-through, and the ability to work independently with minimal oversight.
- Professionalism in handling sensitive and confidential information.
- Competence in drafting correspondence, analyzing data, and creating structured reports.
EXPERIENCE:
- At least five years of administrative experience, preferably in construction contract administration.
- Prior experience with Deltek Vision is preferred.
EDUCATION:
- High school diploma or GED required; an associate degree in business is strongly preferred.
- Previous experience or exposure to the construction environment is a plus.
