Position Summary:  The Construction Clerk will assist the Construction department with day-to-day operations, including data entry, creating reports and worksheets and other office related work.  The individual provides administrative and clerical support to assigned personnel to facilitate the efficient operation of the organization.

 Construction Clerk Duties and Responsibilities:

  • Compiles data and maintains a variety of manual and computerized files and records for the purpose of providing documentation in accordance with administrative and legal requirements.
  • Creates memos, correspondence, reports, and other documents as required by the department.
  • Inputs information into designated databases or other recordkeeping systems.
  • Generates regular interval reports accurately and timely.
  • Assists with other related clerical duties such as photocopying, faxing, filing, and collating.
  • Helps implement new programs, policies and procedures to employees in a consistent manner.
  • Provides input and makes recommendations for document control activities.
  • Provides assistance to field personnel and acts as liaison with IT, HR, and Safety departments when needed.
  • Assists Construction Coordinator with issuing subcontracts and maintaining subcontractor information and files.
  • Receives and processes subcontractor invoices and coordinates with Accounts Payable for payment and processing.
  • Issues subcontract change orders as needed to process invoices.
  • Prepares files and performs data entry for upcoming construction jobs to facilitate field daily report submission and job labor costing as well as coordinates with HR for job setup in time entry system.
  • Performs department personnel time entry and maintains confidential data, reports, and other related employee information.
  • Provides assistance and support for DOT and ELD compliance and fleet maintenance and management.
  • Tracks all Construction EHS training documentation generated and assists EHS/Construction staff with copying, developing training materials & maintaining files for Construction employees.
  • Maintains environmental, health and safety compliance documentation generated from Construction incidents, regulatory submissions, permits and other collected data.
  • Assists with travel arrangements for department personnel.
  • Monitors and maintains safety supplies for the department.
  • May perform other duties as assigned.

Construction Clerk Skills and Specifications:

  • Exceptional verbal and written communication skills.
  • A high degree of confidentiality is required.
  • Demonstrated proficiency with Google and corresponding apps, including, but not limited to Gmail, Sheets, and Docs.
  • Solid problem-solving skills.
  • Must be detail oriented.
  • Able to manage multi-task work in a strong-paced environment.
  • Able to work alone on a broad variety of projects.
  • Able to establish and maintain healthy working relationships with people in the course of work.
  • Willingness to work additional hours in order to meet tight deadlines.

Construction Clerk Education and Qualifications:

  • Proven administrative support experience.
  • High School diploma or equivalent (GED).

Construction Clerk Physical Requirements:

While performing the duties of Construction Clerk, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Construction Clerk Work Environment:

While performing the duties of Construction Clerk, the employee is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.
