About the Role

Construction Contract Administrator is a member of Project Support Services team. Construction Contract Administrator is responsible for reviewing, analyzing, preparing and negotiating subcontracts, purchase contracts, leases, and other downstream contracts; managing the subcontracting cycle; and communicating with vendors and subcontractors and Project teams to achieve timely contract execution.  The Administrator supports the Company business goals by ensuring that the agreements are compliant with the Company policies and legal standards.

 

Skills & Qualifications

  • Bachelor’s degree (BA/BS) in Construction Sciences, Construction Management, Paralegal or Legal Studies from an accredited institution, or 3-5 years of contract administration or procurement experience, preferably with a general contractor.
  • Experience reviewing, preparing, and negotiating contracts in the construction industry with subcontractors and vendors.
  • Experience reviewing Certificates of Insurance for compliance.
  • Proficiency in Microsoft Office software (Word, Excel, Power Point).
  • Strong attention to detail, excellent organizational skills, ability to manage multiple tasks in a fast-paced environment, and ability to work under deadlines.
  • Knowledge of construction processes, terms, contract law, insurance, and industry practices required.
  • Excellent written and verbal communication skills.
  • Excellent problem-solving skills.
  • Collaborative team-player mentality.
  • Experience with DocuSign or other electronic contracting software is preferred.

 

 

Primary Duties

 

  • Review, revise, negotiate and manage subcontracts, purchase contracts, service agreements, consulting agreements, equipment leases, change orders, amendments, and other contract comments for compliance with company policies and standards.
  • Communicate with subcontractors, vendors, and internal Project teams regarding contracts, notices, and Project-specific letters, as required.
  • Facilitate resolution of subcontractor issues, including obtaining compliant insurance and qualifications documents.
  • Handle contract execution processes, including obtaining necessary approvals, bonds, insurance, certificates, and signatures.
  • Identify and evaluate potential risks with contracts and advise the Project teams.
  • Serve as the main point of contact for subcontracting.
  • Monitor the contract lifecycle and manage the contracting dashboard and the contracting administrator email box.
  • Prepare regular reports summaries, and contract status updates for Project teams and the Managing Counsel.
  • Maintain and update a database of vendor, clients, and internal contracts.
  • Collaborate with various teams, including Accounting and Equipment, to support contract execution.
  • Monitor monthly lien notice, lien and bond claim filings and coordinate with Project teams to resolve issues.
  • Manage the log of the liens and notices of bond claims and report to the Managing Counsel.
  • Process and track change orders, variations, RFIs, submittals, and proposals, as needed.
  • Manage documentation related to contracts.
  • Coordinate payments, progress claims, payment applications, and other records required by contracts, as needed.
  • Supporting project closeout, including final documentation and contract wrap-up.
  • Manage the work of the Project Support Services Coordinators.
  • Assist Managing Counsel, as needed.

 

Physical Requirements

Must be physically fit enough to function safely on a project site and office setting.        This includes the following:

  • Prolonged periods sitting at a desk and working on a computer with repetitive movements
  • Ascends or descends ladders, scaffolding, and steep slopes with agility (Climb)
  • Maintains body equilibrium to prevent falling from precarious situations (Balance)
  • Lowers the body to floor level and move with agility (Stoop or Crawl)
  • Extends out and retrieves objects outside immediate range (Reach)
  • Supports oneself and stays in an upright position (Stand)

  • Raises substantial objects up to 30 lbs from a lower to a higher position or moves objects horizontally from position to position (Lift)
  • Maneuvers small objects precisely by whatever means (Pinch or Pick)
  • Seizes an object by applying considerable force (Grip)
  • Detects attributes of objects, such as size, shape, temperature, texture, tension, or force by tactile means (Feel)
  • Expresses or exchanges ideas through spoken word (Speak), preferably English.
  • Perceives the nature of sound with no less than a 40db loss @ 500 Hz, 1,000 Hz, and 2,000 Hz with or without correct (Hear)
  • Is subject to substantial repetitive motions of the body and or its parts 
  • Must have good depth perception, field of vision, near acuity
  • Frequently exposed to weather (occasionally extreme cold, extreme heat, wet, and/or humid, exposure to dust and fumes, and working in highly exposed places)

 

 

 

Additional Requirements

  • Current driver’s license, required. 
  • Work on-site full-time at the main office or Project location, required. No remote or work-from-home arrangements.
  • May be called after hours and on weekends to address delays, emergencies, bad weather, and other issues impacting deliverables and/or Project sites.
  • May require travel.
