We are seeking a highly organized and detail-driven Construction Operations Coordinator to support our operations, finance, and construction teams. This position plays a key role in ensuring all administrative, financial, and bidding processes are executed with precision and aligned with our brand standards.

Position Overview:

The Construction Operations Coordinator will be responsible for managing critical back-office functions that support the lifecycle of our projects, from bidding through warranty. This includes overseeing draws, collections, bid coordination, vendor management, and ensuring all project and client documentation is meticulously maintained.

Key Responsibilities:

  • Manage and process client draws and collections, ensuring accuracy and timely submission.

  • Upload invoices and track payments in Buildertrend, maintaining up-to-date project financial records.

  • Prepare and distribute client invoices, ensuring alignment with approved budgets and project milestones.

  • Coordinate the bidding process, including sending out bid packages, tracking vendor responses, and ensuring bids are complete and timely for leadership review.

  • Oversee the warranty process, including weekly reporting, logging claims, and ensuring timely resolutions.

  • Track lien releases and ensure all vendor documentation is current, including contracts, insurance, and compliance documents.

  • Maintain organized and accurate client and vendor files, both digital and physical.

  • Support project managers and accounting teams with documentation, reports, and administrative needs.

  • Identify and support process improvements to streamline operations and enhance the client experience.

Ideal Candidate Will Have:

  • Proven experience in construction operations, project coordination, or accounting support.

  • Experience coordinating bids and working with vendors and subcontractors.

  • Familiarity with Buildertrend or similar construction management platforms (preferred).

  • Strong organizational skills with exceptional attention to detail and accuracy.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

  • Ability to manage multiple priorities with professionalism and confidentiality.

  • A positive, solutions-focused attitude, with a commitment to supporting a collaborative, client-centered culture.
