We are currently seeking a Project Assistant to work out of our Houston office, supporting our Construction Project Services Department. The ideal candidate will demonstrate a willingness to learn, be eager to work as a team player and have exceptional organizational skills.

What your day looks like.
Typing/preparing various items such as letters, bid instructions, meeting minutes, weekly updates, memos, outline specifications, time sheets, and expense reports
Prepare various contract forms as directed by Project Managers (Subcontracts, Change Orders, AIA Agreements, Professional Service Agreements, Consulting Agreements and transmittals)
Review Certificates of Insurance for contract compliance
Complete a first review of all partial and final waivers of lien for the team’s projects
Maintain all files, including preparing new files and sending old files off site
Ensure that all project files contain full records of project documentation including itemized project expense tracking
Generate and obtain necessary approvals for the monthly Project Services fee package invoices
Verify and obtain necessary approvals for Property Management Construction Management fee package invoices
Track and generate invoices for quarterly interdepartmental billings
Bi-weekly aged receivables reconciliation and review
Prepare a monthly report for corporate revenue projections
Administer team’s resources including but not limited to Procore, Huddle, and Zoom
Answer incoming phone calls and coordinate communication with vendors and customers in the event of a team member’s absence
Preparation for meetings and trainings including scheduling, preparing handouts, and coordinating lunches
Conduct bi-weekly team update meetings
Act in a manner of integrity that shows support for the company, its values, and other associates while maintaining a constant focus on exceeding client expectations
Hours are 8:30-5:00 Monday through Friday
Local travel as necessary to project sites
What sets you apart.
1-3 years of related experience, construction administration experience
Driver’s License is required for this role
Ability to comprehend instructions, short correspondence, and memos.
Excellent computer skills, must be advanced in Microsoft Word, PowerPoint and Excel
Requires a high level of commitment to customer service
An effective team player who also possesses the ability to work independently
