About this Position

The Project Associate (PA) will report to the senior construction Project Manager and is responsible for managing 20 - 30 projects that are small to medium in size, cost, and complexity. The PA will coordinate contact between OSU and project client(s), subcontractors, Architects, and other stakeholders in the planning, design, construction, engineering, and management of their assigned projects.

The PA will employ their knowledge of methods, standards, and equipment used within the construction and facility renovation industry to evaluate the work of in-house skilled tradesmen and contractors to ensure adherence to project guidelines and construction standards and enforce the policy and procedures of the unit.

The PA is responsible for scheduling site walks with contractors to obtain pricing proposals to facilitate contracting through the AiM software. As well as providing site access, scheduling the delivery of materials, and ensuring projects stay on budget.

The PA is responsible for the development of scopes of work for bidding by contractors, including the defined products and materials needed, all while adhering to the University Design Standards and requires the ability to review the completion of submitted proposals, assess for the best overall value for the work to be completed and provide direction through the Request for Information process to the University Designer, Architect, Engineer or the client to ensure all aspects of the proposal are applicable.

The PA will meet with management when finalizing the scope of work, design intent, and standard operating procedure for project requirements and provide updates on the assigned projects' schedule, budget, and productivity. Additionally, the PA will work with management to facilitate approval of alternate products through the submittal process. The person in this position frequently communicates with students, staff, customers, and outside vendors who have inquiries about various aspects of their assigned projects and must be able to communicate effectively and accurately, and exchange accurate information while presenting a friendly and positive demeanor.

Ability to establish and maintain effective working relations with contractors and departmental representatives. Ability to work independently. To complete various assignments, work may be required and scheduled during non-business hours, which include evenings and weekends.

Due to the position's communication expectations, the incumbent will be required to maintain a personal cell phone and be continually available during and after normal working hours.

Required Qualifications

  • High School/GED (degree must be conferred on or before the agreed-upon start date)
  • Eight years of related work experience, with six of those years in building maintenance.

    Post-secondary education may substitute for years of experience.

    As a general guideline, 1 year of full-time experience equals 1 year of post-secondary education.

  • Certifications, Registrations, and/or Licenses:

    Have before hire and maintain after hire a valid driver's license. A valid driver's license must be maintained for the operation of an OSU vehicle, which is required in the performance of job duties as assigned.

  • Skills, Proficiencies, and/or Knowledge:

    Ability to manage fast-moving small- to medium-sized construction and renovation projects. Computer skills in Outlook, Word, and Excel for departmental record keeping, and good organizational ability.

    Skills in evaluating the work of others to ensure adherence to stated standards. Skills in conflict resolution and resolving problems involving tenants and contractors regarding project requirements. Ability to establish and maintain effective working relations with contractors and departmental representatives. Ability to present a friendly and positive demeanor to students, clients served, staff, and the general public.

    To effectively and collaboratively navigate project requirements with stakeholders, the applicant must have conflict resolution skills and be a proactive problem solver. Knowledge of methods, standards, and equipment used within the facility repair and renovation industry. Basic knowledge of building codes andthe ability to incorporate EHS’s AHJ expectations into the code framework. Ability to become proficient in the use of AIM software, including CMMS (Computerized Maintenance Management System), and CPPM Capital Planning and Project Management) modules.

    Effective work habits, including commitment to quality work, time management, organizational skills, attention to detail, ability to multitask, and good record-keeping skills. Proved record of sound judgment and decision-making, asking for help, bringing forward problems, communicating with others, and working around and near moving machinery and electricity. Able to learn and act on new technical or complex information.

    Ability to become proficient in the use of the "AIM" Computerized Maintenance Management System (CMMS) software and the use of mobile technology. Must work safely, adhere to all safety requirements, and promote a safe work environment.

    This position may require manual labor and occasionally the physical ability to lift up to 50 pounds and in excess of 50 pounds occasionally.
