CONSTRUCTION TEAM ADMIN POSITION:
Full-time Construction team admin position available with Ensign Services, Inc. This is a hybrid position, based out of one of the following locations: Tempe, AZ, Midvale, UT, or Dallas, TX.
Hourly rate will be $20-25/hr, with benefits, and eligible for an annual incentive. Standard equipment will be provided (cell phone, laptop, fuel reimbursement for company travel). Travel is required, as needed (usually 3-4 times per year).
Skills needed: Knowledge of Excel, and other Microsoft Office programs.
Duties and Responsibilities:
- Monitor project schedules and budgets, perform audits on projects to ensure proper compliance.
- Project Setups and kick-off coordination with Project Managers for construction projects in Ultimus (Ultimus experience is not required).
- Set up and monitor vendors for Ultimus.
- Oversee that the proper processes are being followed for Project approvals (including Landlord approvals), invoice submittals, and general project tracking.
- Maintain and archive all contracts and all construction documents. File building reports and other documentation, maintaining an organized department-wide database (J Drive).
- Maintain and regularly update facility spreadsheet, and Construction Team directory.
- Manage the annual reviews for team members, ensuring they happen timely.
- Encourage consistent “Ensign Culture” and promote team unity with reminders for milestones in people’s lives (birthdays, anniversaries, shared calendar items, etc.)
- Assist Construction team with scheduling, arranging, and delegating responsibilities for their Markets and Department meetings (coordinate airport pickups, hotel rooms, car rentals as needed).
- Oversee the onboarding and training of new hires. Provide continual training for currently employed.
- Support Project Managers, Maintenance Life Safety Resources, and Purchasing Resources with admin needs.
- Create name badges and order business cards for new hires, and as needed for current employees.
- Consistent and reliable liaison between Construction team and Service Center resources
- Create and send out quarterly newsletter for Construction team.
- Send monthly expense reports to Construction team.
- Update and send out monthly mileage reports for company-driven vehicles.
- Record facility impression scores and keep an organized filed database of all reports.
- Update the tracker monthly to reflect accurate data at a quick glance for the LSRs.
- Possibly assist with construction contracts in conjunction with legal team.
