McAlvain Construction, a Big-D Company, has an opportunity for an Executive Assistant to join our team of construction professionals based in the Boise, ID area.

     Technical Requirements

    • Technologically advanced with strong Microsoft Office suite skills (Outlook, Teams, Word, Excel, Etc)
    • Disciplined with Organizational systems and controls. Develop, manage, and maintain the Standard
      Operating Procedures (SOP’s) database while encouraging adaptive change and continued evolution
    • Process updates to SOP’s and disseminate to company
    • Participate in purchasing and scheduling commitments
    • Aggregate and present data and analytics to Leadership
    • Oversee reporting functions and hold Leadership accountable

    Tasks

    • Manage Calendar for Leadership. Schedule all meetings
    • Manage E-Mail Inbox for Leadership. Sort, categorize, organize and respond to e-mails when appropriate
    • Travel Planning for Leadership. Arrange all flights, accommodations, and travel coordination
    • Schedule, setup, and attend all Leadership events and off-site meetings to take notes and prepare action
      reports for review and follow-up
    • Expense Reporting for Leadership. Prepare all expense reports and submit to Controller for approval
    • Respond to Voicemails when appropriate
    • Prepare package of reports for Leadership on a cadence
    • Host sync meeting with Leadership. Report up all action items
    • Manage all personal appointments and coordinate personal tasks at Leadership discretion
    • Coordinate with Leadership family to ensure organization of personal affairs
    • Safeguard sensitive information

     Experience and Education

    • Education: High School Diploma (Required); 4yr College Degree (Preferred)
    • Experience: Minimum 5yrs in a Similar Support Admin Role
    • Software: Microsoft Suite (Outlook, Teams, Word, Excel, Etc)
    • Self-starter with the ability to set and ensure goals and tasks with strong leadership goals
