The Central Group CEO for the building group serves clients across central states, predominantly Texas and Missouri. Responsibilities – what you will do to make an impact at Clark:

  •  Executive Assistant to the Central Group CEO, providing operational and logistical support. Coordinate all aspects of the CEO schedule, including sometimes complex travel arrangements; understand the Executive’s schedule needs and work to meet them.

  • Organize, maintain and manage calendar for Group CEO.  Establish work time and meeting windows; prioritize meetings based on urgency and topic.  Review calendar daily and weekly to ensure meeting conflicts are avoided/resolved, meetings are effectively planned and executed.

  • Assist in managing, filing and updating OneNote with meeting notes and action items.

  • Being available to support Executive during travel with keen focus to detail when rebooking, updated travel plans as needed. Book all travel through company travel program.  Assist in rebooking, updating travel plans as needed.

  • Complete all expense reports on a monthly basis.

  • Support Group CEO with coordinating CoE meetings, events and trainings.

  • Availability to support travel, meetings and needs among multiple time zones. 

  • Work collaboratively with all team members (other EAs, team leaders, etc.) in order to maximize time and efficiency of Group CEO.

  • Gather and Develop read-ahead material for client meetings.

  • Prepare and print/email read-ahead material for team meetings using company management software (Salesforce, SAP, etc.).

  • Complete additional tasks as needed to support activities of Group CEO

  • Serve as the gatekeeper of the Executive’s time, schedules, and information while fostering a collegial work environment.  Maintain complete confidentiality regarding details of schedules and related information. Handle all forms of communication.

  • Hold yourself to high standards of quality, accuracy, timeliness, customer service, and complete discretion. 

Qualifications:

  • 4-8 years of relevant work experience, preferably with experience supporting high level executive

  • Must have strong attention to detail and ability to manage multiple different tasks at the same time

  • Ability to adapt to changing needs of the company as well as Group CEO

  • Demonstrated ability to think on your feet and solve problems. Proactive approach.

  • Personal confidence and a passion for customer service.

  • Can-do attitude with superior organizational skills and accuracy. 

  • Ability to maintain confidentiality in all aspects of job responsibilities.

  • Clear and concise written and verbal communication skills. Self-driven for accuracy.

  • Ability to juggle multiple competing priorities under deadlines. 

  • Results-oriented with a get-the-job-done mindset.
