Position Overview

We’re currently seeking a Parts and Service Coordinator to join our team and support both customers and internal departments with accuracy, professionalism, and attention to detail.

Essential Job Functions

Parts Coordination

• Process phone and walk-in parts orders promptly and accurately
• Determine and verify customer parts needs
• Research parts availability and requirements
• Input orders into the computer system
• Pull parts from warehouse for counter customers
• Place backorders and follow up with vendors
• Generate complete and accurate purchase orders
• Assist the service department by pulling required parts
• Perform cycle inventory counts and restock items as needed
• Support the Parts Manager with various tasks as necessary

Service

• Code office invoices and assist with expense tracking
• Prepare and research explanations for expenses
• Write, monitor, and assist with closing service jobs
• Process timecards and maintain technician service records
• Coordinate between field service and Parts Department for parts needs
• Handle petty cash, process checks, and mail checks to the corporate office in Salt Lake City
• Maintain accurate records of associate data, including phone numbers, shirt sizes, birthdays, hire dates, and vehicle assignments
• Manage and reclassify credit card charges (Wells Fargo) for all associates
• Complete new vendor setup forms and assist with onboarding new hires
• Prepare and process documents related to equipment sales, rentals, and demonstrations
• Provide administrative support to sales representatives as needed

Warehouse Support (As Needed)

• Stock incoming parts and supplies
• Assist with general warehouse organization and inventory preparation
• Participate in physical cycle counts
• Maintain cleanliness in warehouse and workstation areas

Additional Duties

• Answer phones, file documents, and assist with other clerical tasks
• Maintain a clean and efficient workspace
• Stay up-to-date on products, parts, and system updates
• Maintain communication with management and coworkers regarding work-related issues and ideas

Job Requirements

• Ability to operate a forklift or complete certification
• Valid driver’s license and ability to operate a company vehicle
• Proficiency in Microsoft Excel and Word
• Strong verbal and written communication skills
• Ability to work in a fast-paced, multi-functional environment
• Strong attention to detail and organizational skills

Physical Demands

• Frequent walking and movement, including uneven terrain
• Lifting and handling items up to 50 lbs
• Reaching, bending, and kneeling as needed
• Entering and exiting equipment or using ladders
• Sitting at a workstation for extended periods
• Reading work tickets, parts manuals, and digital screens
• Communicating via phone, radio, and in person

Work Environment

• Mix of office and warehouse settings
• Exposure to noise, changing temperatures, odors, fumes, and chemicals
