The Project Estimator plays a critical role in the early phases of construction projects by providing accurate cost estimates, planning, and supporting the preconstruction phase. This professional ensures that budgets are realistic, timelines are achievable, and all project risks are identified and mitigated. The Project Estimator works closely with Project Managers, Project Schedulers, Project Planners, Procurement and Program Managers, Architects, Engineers, and clients to align preconstruction services with the project's overall mission and deliver the highest level of professionalism and service.

 

The Project Estimator is responsible for assessing the cost, time, and resources required for projects in construction, manufacturing, or service industries. This involves analyzing blueprints, technical specifications, and project documentation to provide precise cost estimations. The Project Estimator collaborates with key stakeholders, including Project Managers and Engineers, to guide the budgeting process and ensure alignment with project goals.

 

This role requires a deep understanding of materials, labor, and project timelines, as well as exceptional analytical and communication skills. By combining technical expertise with effective collaboration, the Project Estimator ensures projects are delivered on time, within budget, and to the client’s satisfaction.

 

Essential Position Functions

Cost Estimating

  • Prepare accurate and detailed cost estimates, including labor, materials, equipment, and overhead costs.
  • Analyze drawings, specifications, and other documentation to determine time, cost, and labor requirements.
  • Provide cost analysis for all project phases and assist in budgeting.
  • Maintain accurate records of estimates, costs, and project changes; prepare management and client reports.
  • Assist in preparing bids, tenders, and forecasts, ensuring all aspects are covered.
  • Monitor project costs to ensure alignment with the budget and identify discrepancies early.

Risk Assessment

  • Identify project risks related to costs, timelines, and construction methods.
  • Propose risk mitigation strategies and solutions to minimize impacts on project execution.

 

Vendor and Supplier Coordination

  • Liaise with suppliers and subcontractors to obtain competitive quotes for materials and services.
  • Ensure changes in project scope or specifications are accurately reflected in estimates and communicated to stakeholders.
  • Build and maintain strong relationships with subcontractors and suppliers to foster collaboration and reliable service.

 

Preconstruction Planning

  • Collaborate with design teams, engineers, and clients to review project designs, goals, and scope.
  • Develop schedules, project timelines, and bid packages.
  • Participate in design, preconstruction, and value engineering meetings to optimize project plans.
  • Prepare and present preconstruction reports, cost projections, and related documentation.

 

Construction Support and Continuous Improvement

  • Support the design development and construction phases with accurate estimates and cost tracking.
  • Oversee the quality and accuracy of estimates, drawing reviews, and construction documents.
  • Ensure compliance with relevant codes, standards, and safety regulations.
  • Document scope, cost, or schedule changes and provide updates to stakeholders.
  • Continuously improve estimating processes, maintain records, and stay updated on industry trends and technologies.

 

Reporting Structure

The Project Estimator reports to the Director, Program Management and supports the Contracting and Procurement Director.

 

FLSA Status

This position is classified as Exempt under the Fair Labor Standards Act.

Qualifications

Minimum Position Requirements

  • Education:

    • Bachelor’s degree in construction management, Civil Engineering, Architecture, or a related field (preferred). Equivalent professional experience may be considered in lieu of a degree.

    • Knowledge of materials, labor costs, and project scheduling.

    • Ability to interpret complex technical drawings and specifications.

    • 3-5 years of experience in estimating, cost analysis, or related roles, preferably in construction, manufacturing, or another relevant industry.

    • Certification: Certifications such as LEED, AACE, or PMP (Project Management Professional) may be a plus.

  • Experience:

    • Proven experience in construction estimating, preconstruction planning, or a similar role.

    • Experience with project management software and cost-estimating tools.

    • Strong knowledge of construction processes, materials, and methods.

    • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and other relevant software.

  • Communication:

    • Excellent written and verbal communication skills to effectively interact with clients, teams, and subcontractors.

    • Ability to identify issues early and produce effective solutions.

    • Meticulous and strong attention to detail and organizational skills.

  • Office-based with occasional site visits. Up to 15% travel.

  • During proposal preparation and packaging, the Project Estimator ensures all cost estimates, schedules, and supporting documentation are accurate, comprehensive, and aligned with client requirements, presenting a compelling and competitive bid while adhering to internal standards and deadlines.
