Key Responsibilities
Front Desk & Administrative (Primary)
- Greet and welcome visitors in a professional and friendly manner
- Answer, screen, and direct incoming phone calls
- Maintain a clean, organized, and professional reception area
- Receive and distribute mail, deliveries, and messages · Schedule and coordinate meetings and appointments
- Provide general administrative support including data entry, filing and document management,
- Order and maintain office supplies; coordinate staff lunches and manage outgoing mail and packages
- Maintain confidentiality and handle sensitive information appropriately
- Review and enter vendor invoices into the accounting system, ensuring required documentation is complete
- Distribute checks as directed and notarize applicable lien waiver
- Route, track and obtain signatures on project and corporate documents
- Provide administrative support to Project Management Assistants (PMAs) on active projects
Project Manager Assistant (Training & Development)
- Support Project Managers with administrative tasks throughout the project lifecycle
- Assist with issuing subcontracts and purchase orders
- Help track change orders, submittals, and project documentation
- Participate in maintaining job files, project records, and correspondence
- Assist with meeting minutes, RFIs, and transmittals
- Learn construction software systems (e.g., Autodesk, Sage Intact or similar)
- Support billing processes, including applications for payment and basic accounting coordination
- Assist with project closeout documentation
Note: PMA responsibilities will be introduced progressively based on training and business needs.
What We’re Looking For
Qualifications
- High school diploma required; associate degree preferred
- 1+ year of administrative, receptionist, or office support experience preferred
- Strong communication and customer service skills
- Highly organized with the ability to manage multiple tasks
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Interest in construction, project coordination, or operations preferred
- Ability to obtain Notary Public license within 90 days of hire

Location: This position requires the candidate to work on-site in the Indianapolis, IN area.
